Last updated: 17 June 2026

Note: This is a starting template, not legal advice. Before going live, have it reviewed by a solicitor and complete the placeholders in [brackets] with your real company details.

1. Who we are

PhoneBot ("we", "us", "our") provides an AI phone-answering service for businesses in Ireland. For the purposes of the General Data Protection Regulation (GDPR) and the Irish Data Protection Act 2018, the data controller is [Your registered company name], [registered address]. You can contact us at hello@phonebot.ie.

2. What data we collect

  • Enquiry details you submit through our website forms: name, business name, phone number, email and your message.
  • Call data when our service answers calls on behalf of a client: the caller's name and number, the content of the conversation, and a recording and/or transcript of the call.
  • Technical data such as IP address and basic analytics about how the website is used.

3. How we use your data

  • To respond to your enquiry and provide a demo.
  • To deliver the phone-answering service and pass captured leads to the relevant business.
  • To improve the quality and accuracy of our service.
  • To meet legal and regulatory obligations.

4. Legal basis for processing

We process personal data on the basis of your consent (e.g. submitting a form), the performance of a contract (providing the service to a client), and our legitimate interests in operating and improving our business, balanced against your rights.

5. Call recording

Where calls are answered by our service, callers are informed at the start of the call that the call is handled by an automated assistant and may be recorded. Recordings and transcripts are used to deliver the lead to the business and to maintain service quality.

6. Sharing your data

We share data with trusted service providers who help us run PhoneBot — for example voice-AI, telephony, hosting and messaging providers — strictly to deliver the service. These providers process data under agreements that require appropriate safeguards. We do not sell your personal data.

7. International transfers

Some of our providers may process data outside the European Economic Area. Where this happens, we rely on appropriate safeguards such as the European Commission's Standard Contractual Clauses.

8. How long we keep it

We keep enquiry data only as long as needed to respond and, where relevant, to provide our service. Call recordings and transcripts are retained for [retention period, e.g. 30 days] unless a longer period is required by law or agreed with the client.

9. Your rights

Under the GDPR you have the right to access, correct, erase, restrict or object to the processing of your personal data, and the right to data portability. To exercise any of these, email hello@phonebot.ie. You also have the right to lodge a complaint with the Irish Data Protection Commission (dataprotection.ie).

10. Security

We use appropriate technical and organisational measures to protect personal data against unauthorised access, loss or misuse.

11. Changes to this policy

We may update this policy from time to time. The latest version will always be available on this page with the date it was last updated.
